The Chamberlain Network (TCN) is a veteran civic engagement organization that mobilizes and empowers veterans to work within their communities to uphold free and fair elections and cultivate a respectful civic society that supports healthy democratic institutions.
Our work spans veteran organizing, civic education, coalition building, and institutional trust-building, with a growing national footprint and a small, high-output team based in Atlanta.
TCN is a growing nonprofit, founded in 2024, and still in the early stages of building our operational infrastructure. We’re seeking an Operations Associate to support these efforts. This role is as much about designing and improving systems as it is about running them — we're looking for someone who is energized by building things from scratch and comfortable with ambiguity.
The Role
The Operations Associate reports to the Chief Operating Officer. This person makes sure the organization runs smoothly behind the scenes so that program staff can focus on mission delivery. The role is ideal for someone who takes pride in meticulous work, enjoys creating order out of complexity, and wants to contribute to a mission that brings veterans into civic life.
This is a hands-on role with meaningful ownership. You will touch finance, people operations, compliance, logistics, and systems, and you will have the chance to shape how TCN operates as it grows.
What You Will Do
Finance and Bookkeeping Support (approximately 40 percent)
Process accounts payable, vendor payments, and staff expense submissions with accuracy and timeliness
Review monthly financial accounts and flag discrepancies to the COO and external bookkeeper
Maintain organized records for all transactions, contracts, and receipts
Support annual audit preparation by assembling documentation and responding to auditor requests
Coordinate with TCN's external accounting and bookkeeping support to keep books clean and current
Work with the COO to refine budget tracking process, including monthly budget-to-actual review
Tech and Systems Infrastructure (approximately 25 percent)
Serve as the first point of contact for staff questions about Google Workspace, shared drives, and SaaS tools
Document internal processes and build a shared operations knowledge base for staff
Maintain TCN's SaaS subscription inventory and coordinate renewals
Support basic troubleshooting and escalate larger IT issues to appropriate vendors
Grants and Compliance Administration (approximately 15 percent)
Build and own the grants calendar, tracking reporting deadlines and deliverables across the funder portfolio
Support grant reporting by assembling financial documentation and coordinating with program leads
Track lobbying and advocacy activity in compliance with applicable federal and state reporting requirements, coordinating with program staff to capture data and maintain accurate records
Manage state charitable registrations and annual filings
Keep TCN's corporate records, insurance policies, and governance documents current and organized
Event and Travel Logistics (approximately 15 percent)
Coordinate travel, lodging, and logistics for staff convenings, off-sites, and national meetings
Support event planning for TCN's national convenings and annual conference, working alongside program staff on vendor management and on-site coordination
Build and maintain repeatable playbooks for recurring events — documenting vendor relationships, timelines, checklists, and lessons learned so each convenings builds on the last
Process travel reimbursements and maintain travel expense records
HR and People Operations (approximately 5 percent)
Maintain accurate personnel files and ensure TCN complies with applicable federal and state employment requirements
Keep employee handbook, policies, and procedures current and accessible
Support staff offboarding processes when needed
Who You Are
Two or more years of experience in operations, administration, finance, or a related function, ideally in a nonprofit setting
Sharp attention to detail and a track record of keeping complex processes organized
Comfort with numbers and basic accounting concepts; experience with QuickBooks, Bill.com, or similar platforms is a plus
Strong written and verbal communication, with the ability to work across a distributed team
Proficiency with Google Workspace; familiarity with CRM and project management tools is a plus
Discretion and sound judgment when handling sensitive financial, personnel, and organizational information
A self-starter mindset; you take initiative, ask questions, and follow through without needing constant oversight
Genuine interest in TCN's mission and in working alongside veterans and veteran-serving organizations
Prior military service, military family connection, or experience in veteran-serving organizations is welcomed but not required.

Competitive salary range from $65,000 to $80,000, commensurate with experience
